Shared Event Folder & File Uploads: We set up a private Google Drive folder for your show. You simply upload your presenter PowerPoint decks, full show schedules, and company logos for room holding screens so our media team has everything prepped ahead of time.
Venue & Contact Coordination: We gather your key event contacts—such as your venue manager, on-site show caller, or security lead—and collect the exact details needed if your venue requires a Certificate of Insurance (COI).
Equipment Pull & Bench Testing: In our shop, we pull your exact gear list, bench-test every microphone, projector, and cable, and double-check our pull sheets so everything arrives on-site show-ready.
W-2 Crew Booking & Reminders: We schedule our vetted W-2 technical crew and send direct text reminders the day before load-in with exact call times, check-in locations, and contact details.

Presentation & Media Checks: We load your slide decks onto our show laptops to verify aspect ratios, test embedded video playback, and install custom fonts so your graphics display cleanly on screen.

Load-In & On-Site Crew Briefing: We arrive at your venue, unload our vehicles, and hold a start-of-shift production meeting with our setup crew and Lead Technicians to review the room build and timeline.
System Setup, Inspection & Client Walk-Through: Once setup is complete, our Lead Technician inspects every system—from audio levels to video displays. We invite you to walk the room with us, review the layout, and take care of any adjustments you want made on the spot
Rehearsals & Comms Check: If your schedule includes run-of-show rehearsals, we walk through the program with your presenters. If intercom headsets were requested, our tech team is on comms and ready to take live cues from your show caller.
Pre-Show Station Call (1 Hour Prior): One hour before showtime, all technicians are at their stations—behind the audio console, video switchers, or cameras—and fully ready.
